 What is the "Rosé and Croquet" Auction and Social and why is it important to me?

The Spring Auction is Oak's annual fundraiser. Our 2022 event is set for Saturday, April 30, 2022, 6-10 PM, and will take place at Saratoga Springs, 22801 Big Basin Way, Saratoga. .  There is a Silent Auction online, which will feature items in many categories, such as gift certificates to local restaurants, sporting event tickets, parties hosted by Oak families for kids, adults, and families, as well as a variety of Oak Features such as front row seats at graduation and Librarian for the Day. There is also a Wine Wall and Live Auction component, which you can only participate in if you attend the Auction.You will be served a buffet dinner and open wine and beer bar, dance to DJ-provided music, mingle with other guests, and bid on the wonderful auction items.The funds raised from the auction will go directly to Oak students and classrooms.  

What are the Auction Guidelines?

Online Bidding: This year we are excited to once again use Online Bidding for the Silent Auction portion of our event. Online bidding is compatible with all devices including Apple products, Androids, and tablets. Whether you are attending the event or planning to place your bids from home all participants must register as an online bidder.  Registration is available now at the Online Bidding Site. Online bidding registration requires you to provide your email address, mobile phone number and credit card information.  For step by step instructions on how to register and how to bid please watch these helpful videos

Early Bidder Access: Sponsor a Teachers Ticket to gain early access to the auction on Friday, April 29 at 6pm.  The auction  will be open to the whole Oak community on Saturday, April 30 at 3pm.   Once registered for Mobile Bidding, you will be able to view catalog items through the link provided by Online Bidding, but you will not be able to bid until the auction opens.  An email and/or text message will be sent to you with your unique url to access the bidding site.  Alternatively you can log into your account at the Online Bidding Site once the auction opens.

Check In: When you arrive at the Auction, look for the registration table to check in. If not done in advance, you will need to register for Mobile Bidding and authorize credit card payments when you check in. After check-in, you will pick up your name tag and head in for Auction fun!  

Children at the auction: This events is for adults only – please review the catalog with your children prior to the event so that they can make any selections.  

Silent Auction: The minimum starting bid is provided in Mobile Bidding for each package. Each new bid must exceed the previous bid by at least the stated increment. Bidding stops when the Silent Auction closes at 10pm. The highest bid at closing constitutes the winning bid.  

Party purchases: Party spots are sold for a fixed price. A party purchase on an open spot is an automatic ‘win’.  

Live Auction: The live auction will start at 8pm. Starting bid and minimum bid amounts will be announced prior to the start of bidding for each item. The highest bidder acknowledged by the auctioneer will be the winning bidder.  

Payment and Receipt: If you are the highest bidder, you are required to pay the pledged amount. Within 1-2 days after the Auction, you will receive an invoice for the items you purchased. You will have 2 days to review your invoice and to communicate any questions or inaccuracies to the Auction Committee. On Monday, May 9, your credit card will automatically be billed for the amount of the invoice. A receipt with all of the purchased items will be provided, with Oak PTA’s tax ID number (for any charitable contributions). Gift certificates and prizes  will be available for pick-up Thursday, May 12 and Friday, May 13. If you are absolutely unable to pick up on those days, please let the Auction committee know in advance at oakavenueauction@gmail.com. Please bring your receipt when picking up; payment in full is required before pick-up.  

The fine print: Generous parents and community members have donated the auction items. We have attempted to catalog and describe all items correctly. We apologize for any errors, changes, or omissions. All items are sold ‘as is’. All sales are final and there are no exchanges, refunds or substitutions. All parties must mutually agree upon all dates and services or events in advance. Most items have an expiration date. The item or items you purchase as the winning bidder are not warranted or guaranteed by Oak PTA. Auction donations are deductible to the extent the amount paid exceeds fair market value. All values are as estimated by the donor, where available, and are not warranted by the Oak PTA for purposes of valuation or tax consequences. Contact your tax advisor for further information. What is the dress code?

The dress code is cocktail attire - add some fringe, a boa, a boater hat or snappy suspenders and get into the theme of the Roaring Twenties. In consideration of the covid times we now live in we have selected an outdoor venue.  So make sure to bring something to keep you warm later in the evening.  

How far away is Saratoga Springs? Should I drive there or use a ride service like Uber or Lyft?

Saratoga Springs is 20 minutes from Oak, you simply take the 85 South for 10 minutes and then continue off the highway for another 10 minutes to the venue. For detailed driving instructions and parking information, check the bottom of this page. To enjoy the evening and keep our parents safe, it is strongly encouraged to carpool with a designated driver or plan on using a ride service to get you to and from the event. It is best to make plans with your friends ahead of time to avoid any issues at the end of the Auction.  

Am I obligated to bid on items at the auction if I attend?

While the goal of our event is to raise money for Oak, you can still attend and have fun with fellow families without bidding on anything! 

Are there drink tickets this year?

No drink tickets, no cash bar this year.  We will start the evening off with a welcome drink of sparkling Rosé followed by an open wine and beer bar through out the night. 

What is the evening's timeline?

6PM: Check-in. Have a drink and enjoy the beautiful atmosphere of the venue.  Partake in a friendly round of croquet or boce ball

7 PM: Buffet dinner is available and both Silent Auction and Wine Wall are OPEN!

8 PM  The Live Auction is held. Here you can raise your paddle for the most exciting stuff like vacation homes, tickets, and OAK PARKING SPOTS!1

10 PM: Silent Auction closes. 

8:30 PM - 10:00 PM: Dancing. 

What's a Parent Party or Kid/Grade Party?

An auction party is a party typically organized by Oak parents. Their target audience can be students, adults, families, dads, moms, you name it! Parties are fun to attend because they can create opportunities for families to get to know each other while raising funds to our school. 

Can our child(ren) attend the Auction?

This is an adult-only event. 

How do I check out at the end of the night?

No need to check out. The week after the auction, you will receive an invoice detailing the tickets, merchandise, and other products you purchased and all the auction items that you won. Your credit card will be charged 2 days later.
